1. Overview

AI Job Copilot ("we", "us", "our") is operated by AI Job Copilot, Pune, India. This Privacy Policy explains how we collect, use, store, and protect your personal data when you use our website and services at aijobcopilot.in. We comply with India's Digital Personal Data Protection Act (DPDP) 2023 and applicable international privacy regulations.

2. Data We Collect

Account Information

Email address, full name, and password hash when you create an account. If you sign in via Google or LinkedIn, we receive your name, email, and profile picture from those providers.

Job Search Data

Job applications you track, companies, roles, statuses, notes, and any documents you upload (resumes, cover letters). This data is stored to provide the core service.

Usage Data

Pages visited, features used, session duration, and device/browser information. Collected via first-party analytics only (no third-party trackers).

Payment Information

Processed by Razorpay. We never store your full card number or CVV. We receive transaction status, amount, and a masked card identifier for record-keeping.

3. How We Use Your Data

  • Provide and improve our services (application tracking, job matching, analytics)
  • Send email digests and notifications you have opted into
  • Process payments and maintain subscription records
  • Detect and prevent fraud, abuse, or security incidents
  • Aggregate anonymized usage statistics to improve the product

We do NOT sell your personal data to third parties. We do NOT share your data with recruiters or employers without your explicit consent.

4. Data Storage & Security

Your data is stored on Supabase infrastructure (AWS, Mumbai region) with encryption at rest (AES-256) and in transit (TLS 1.3). Access is controlled via row-level security policies ensuring you can only access your own data. Database backups are encrypted and retained for 30 days.

5. Data Retention

Your account data is retained while your account is active. If you delete your account, all personal data is permanently removed within 30 days. Anonymized, aggregate analytics may be retained indefinitely. Payment records are retained for 7 years as required by Indian tax law.

6. Your Rights (DPDP 2023)

  • Right to Access: Request a copy of all personal data we hold about you
  • Right to Correction: Request correction of inaccurate data
  • Right to Erasure: Request deletion of your account and all associated data
  • Right to Withdraw Consent: Opt out of email communications at any time
  • Right to Grievance Redressal: File a complaint with our Data Protection Officer

7. Cookies

We use only essential cookies required for authentication and session management. We do not use advertising cookies or third-party tracking scripts. No cookie consent banner is needed as we use only strictly necessary cookies.

8. Third-Party Services

  • Supabase: Database and authentication infrastructure
  • Razorpay: Payment processing
  • Resend: Transactional email delivery
  • OpenAI / Anthropic: AI processing (only when user provides their own API keys)

Each provider operates under their own privacy policy and DPA agreements.

9. Children's Privacy

Our service is not intended for users under 18. We do not knowingly collect data from minors. If we learn that we have collected data from a minor, we will delete it promptly.

10. Changes to This Policy

We may update this policy to reflect changes in our practices or legal requirements. Material changes will be communicated via email and in-app notification at least 14 days before taking effect.
